How to Create a VIC Sales Authority in Sign
This guide provides a step-by-step walkthrough for agents creating a Victorian (VIC) Sales Authority using Realtair Sign.
The process involves four main stages:
- Verifying your agent profile details.
- Generating the Authority form from a campaign.
- Completing all required sections of the form.
- Generating the final document for review and sending.
Step 1: Verify Your Trading Details (For Contractors)
Before generating an Authority, contractors must ensure their trading details are correct. This step ensures your ABN and GST status are correctly populated on the final document.
Note: If you are an employee, you can skip this step. Your office administrator manages these details at the office level.
- From the Dashboard, click your initials in the top-right corner.
- Select Manage Profile > Sign.
- Review your Trading Details to ensure they are accurate.
- Confirm GST Registered is set to Yes.
- Click Submit and return to the dashboard.
Step 2: Generate the Authority Form
It is recommended to generate an Authority from a campaign where you have already created a Pitch proposal, as this will pre-fill key information like vendor details and estimated price.
- From your Dashboard, open the relevant campaign (e.g. 20 Rosebud).
- Navigate to the Sign tab.
- Click Create and select Agency Agreement.
This will open the digital Authority form, ready for completion.
Step 3: Complete Each Section of the Form
Work through each section of the form. The system has built-in guardrails to guide you and ensure all compliant information is entered.

1. Vendor Details
- Vendor details will pre-fill from an existing Pitch.
- To add more vendors, click + Add Vendor. Enter each vendor's details separately to ensure individual signatures are applied correctly.

2. Agreement Details

Agreement Type: Choose from the dropdown (e.g., Auction, Private Treaty).

Authority Period: Enter the duration of the authority.

Chattels: Select Yes to use pre-filled template text, or No to enter them manually.

Occupancy: Select Owner-Occupied or Tenanted to apply the correct clauses.

Estimated Selling Price: This field carries over from your Pitch proposal.
Compliance Check: You cannot enter a price outside the 10% range specified in your Pitch proposal. The system will display an error if an out-of-range value is entered, ensuring compliance with the Victorian Statement of Information requirements.
- Pricing: Enter the Vendor’s Reserve Price or leave it blank for it to display as "To be advised."
- Payment Terms: Set the settlement period (e.g., 30, 60, 90 days) or select Other to specify a custom timeframe.

3. Commission
- Select the commission structure: Flat Dollar, Percentage, or Tiered.

- Indicate if the sale price is inclusive of GST.
- Record any commission sharing arrangements with external agents. This will automatically generate a separate Commission Sharing Agreement for signing.

4. Comparables
- Comparable properties will pull through automatically from your Pitch proposal.
- You can adjust or remove them as needed. This section is optional.

5. Annexures & Marketing Schedule
- The left panel shows your office's Annexure Library.
- The right panel shows annexures already applied, including any default marketing schedules set by your administrator.
- You can edit the schedule by removing items (click the X) or adding new ones from the library.
- To add a custom document that isn't in the library, click Create Annexure and add it via file upload or text entry.
Step 4: Generate and Review
Once all sections are complete, you are ready to generate the final document.
Click Finish to compile the Authority.
