How to preview,edit and send your document

Take your agreements from draft to fully executed with speed, precision, and complete control. This guide walks you through every step of previewing, editing, and signing documents within the Realtair platform, empowering you to deliver a seamless experience for your clients, whether in person or remotely.


Step 1: Locate Your Document

  1. From your main dashboard, navigate to your chosen campaign.
  2. Select the Sign tab to view all documents associated with that campaign.

Step 2: Preview and Prepare Your Document

  1. Click the Eye icon next to your agreement to open the document preview.
  2. The signing options will appear on the right. For now, click the 'X' in the corner to close this panel and view the full document.

First-Time Check: If this is your first agreement, take a moment to carefully review the document to ensure all your company trading details are correct.

Step 3: Make Edits with Precision

Need to make a change? All editing tools are conveniently located in the top-right corner of the screen.

  • Edit whole form: This returns you to the main data-entry form, perfect for making comprehensive changes to property details, vendors, or commission structures.
  • Advanced edit: This is your go-to for last-minute adjustments directly on the document preview. This powerful feature allows you to:
    • Add custom text boxes
    • Apply strikethroughs
    • Insert check marks
    • Add a file or annexure
    • Place additional signature boxes on any page
  • Edit Campaign: Use this to quickly update core details like the agent or property address.

When you're finished with your edits, click Save.

💡 Tip: In some states, you can easily remove advanced edits by clicking the bin icon that appears when you hover over the element.

 

Step 4: Track Progress and Share with Ease

The icons on the right-hand side of your document preview provide a complete command center for managing your agreement.

  • Status Log (Audit Trail): View a full, time-stamped history of your document, including every view, signature, and void event, complete with IP addresses for compliance. For states with digital Verification of Identity (VOI), you can also access the completed VOI report here.
  • Send a Copy: Easily email a non-binding copy of the document to a non-signer, such as an office administrator or conveyancer.
  • Print & Download: Print or download a PDF copy for your records. Remember, all documents are securely and automatically stored in your campaign dashboard for easy access anytime.

Step 5: Initiate the Signing Process

When you are ready to send, click the Sign icon to begin.

⚠️ Important: The agent's option to sign will remain locked until all vendors have completed their required actions, including signing and any necessary identity verification (VOI).

You have two flexible signing methods:

Option A: Send for Remote Signing Perfect for clients on the go.

  1. Click Sign Remote.
  2. Choose your preferences (e.g., prompt the vendor to fill in details, sign, and verify their identity all in one go).
  3. For multiple vendors, you can choose to set a signing order or send to all vendors simultaneously.
  4. Click Send Signing Request. The lead agent will be automatically notified once signing is complete.

Option B: Sign in Person Ideal for face-to-face meetings.

  1. Hand your device (laptop, tablet, or mobile) to your client.
  2. Each person must first read and agree to the electronic signing consent to ensure full compliance. Click Agree to proceed.

Step 6: Guide Clients Through the Signing Experience

The signing interface is designed to be simple and intuitive.

  1. At the top of the screen, a counter shows the number of signatures required.
  2. Click Start to be guided to the first signature field.
  3. Click into the signature box. Your client can either:
    • Draw their signature with a finger, mouse, or stylus.
    • Type their name and select a font style.
  4. Realtair securely remembers the chosen signature for all subsequent fields in the document. Click Next to move seamlessly through each required field.

💡 Tip for Mobile: For the best viewing experience on a mobile phone, rotate the device to landscape mode.

Step 7: Finalise Compliance and Follow-Up

  • Verification of Identity (VOI): Depending on your state, vendors may be prompted to complete a quick and secure digital VOI before the agent can countersign.
  • Post-Signing Communication: After signing, you may be prompted to instantly send pre-configured "Thank You for Listing" letters or contract requests. Simply review the email and click Send, or choose to defer and send it later.

Step 8: Completion and Automatic Distribution

Once all parties have signed, the process is complete!

  • The agent(s) and vendor(s) automatically receive an email with a copy of the fully executed document.
  • A legally recognised Completion Certificate is automatically generated and bundled at the end of the document pack, providing a final audit trail.
  • Need to make changes after signing? For security and compliance, the executed document cannot be altered. You must void the current document and issue a new one for signing.
