How to create and manage an Annexure Library (Admin Setup)

This guide explains how administrators can create and manage a library of annexures for contracts and agency agreements within Realtair.

Before You Begin

  • Permissions: You must have administrator access to manage the annexure library.
  • State Availability: This feature is currently available for specific states using REI forms:
    • New South Wales (NSW)
    • Victoria (VIC)
    • Queensland (REIQ)
    • South Australia (REISA)
  • Note for WA: In Western Australia (WA), a standard set of annexures is pre-loaded, but custom annexures cannot be built at this time.

Step 1: Access the Annexure Settings

  1. Navigate to your office settings: Dashboard > App Switcher > Tools > Offices
  2. Select the office you wish to update from the list.
  3. Click Settings in the top right corner.
  4. From the left-hand menu, select the tab for the document type you want to add annexures to (e.g., Contract or Agency Agreement).

Step 2: Manage and Create Annexures

On this screen, you can manage existing annexures or build new ones.

Managing Existing Annexures

  • You will see a list of any annexures already in your library.
  • To ensure a document is automatically included in every new agreement, tick the Always Include checkbox next to it.
  • If Always Include is not ticked, the annexure will remain in the library for agents to select manually as needed.

Creating a New Annexure

  1. Scroll down to the Build Annexure section.
  2. Enter a descriptive Name for the annexure (e.g., "Pool Safety Certificate Clause").
  3. Choose whether to select the Always Include checkbox.
  4. Click Choose File and select the PDF document from your computer.
  5. To attach multiple PDFs to the same annexure item, click Add Another.
  6. Once you have added all files, click Update Annexures to save your changes.

Repeat this process for other document types (e.g., Agency Agreements) as needed.

Once saved, the new annexures are immediately available to your agents. They will be automatically attached if marked as "Always Include" or will be available for manual selection from the library during document creation.
