Maintain momentum and deliver exceptional service the moment an agreement is signed. Realtair's automated Sign Email Templates allow you to instantly send professional, pre-configured emails to vendors, purchasers, and solicitors.

These templates are ready to go from day one, but you have complete flexibility to customise them permanently for your brand or adjust them on the fly for a specific deal.

Option 1: Permanently Customise Your Master Templates

Set your team up for success by refining the master email templates. This ensures every email sent from your office is consistent, on-brand, and contains the exact information you need.

  • Office Admins: Can edit master templates for any agent in the office.
  • Agents: Can edit their own master templates.

How to Edit Master Templates:

  1. Click the 9-square menu (the "waffle" icon) and select Tools.
  2. Under the Sign heading, choose Templates.
  3. Click the pencil icon next to the template you wish to edit.
  4. Customise the template using the following fields and click Submit.
Field Description
Template Title A clear internal name for the template.
Recipient Choose the primary recipient from the dropdown (e.g. Vendor, Purchaser).
Other Email Recipient Automatically CC anyone who always needs this email (e.g. office admin, settlements team).
Subject The subject line of the email your recipient will see.
Message Craft your email content. Use the "Show data code" button to insert merge fields that automatically pull in details like names and addresses.
Document Type Condition Choose when this template appears (e.g., only for Agency Agreements, Conditional Contracts, etc.).

Option 2: Make One-Time Edits Before Sending

Need to add a specific note for a unique situation? You can easily edit any email just before it's sent.

  1. After an agreement is fully signed or a contract is exchanged, a pop-up screen will appear for each pre-configured email.
  2. From here, you have several options:
    • Review: Click this to open the email, make your specific changes, and send it.
    • Dismiss: Skips sending that specific email.
    • Dismiss All: Skips sending all emails for this transaction.
    • Undo Dismiss: Accidentally clicked dismiss? Click this immediately to bring the email back.
    • X: Closes the pop-up. You can return to it later from the document's activity log to send the emails.

Frequently Asked Questions (FAQs)

1. Is this feature available on my subscription? Yes, Sign Email Templates are a core feature accessible to all Realtair subscribers.

2. Who do the emails come from? Emails are sent from office@realtair.com. By default, the Primary Agent (and Assistant Agent, if applicable) are automatically set as the reply-to recipients and are CC'd on the emails. You can customise your CC preferences in your agent settings.

3. Can I use this on my mobile? Yes. While there isn't a dedicated mobile app for this feature, Sign Email Templates are fully compatible with your mobile device's web browser.

4. What kinds of templates are included? Your account is pre-loaded with essential templates, including Thank You emails, Offer Letters, Sales Advice, Contract Requests, and letters for both Conditional and Unconditional exchange.

5. What if I accidentally dismiss an email I wanted to send? No problem. Simply click the "undo dismiss" button that appears immediately after. This will restore the email template, allowing you to review and send it as intended.
