How To Create An Offer On Behalf Of A Purchaser

This article walks through how admin, agents can add an offer on behalf of prospective purchasers

What is it?

Allow users (admin, agents, assistants) who have access to the campaign to manually create an offer on behalf of a buyer.

This is only available if your listing is a Private Treaty or Auctions with Offers enabled.

Why?

  • Useful for agents who are working with buyers who are uncomfortable with making an offer online

  • Agents can document an offer received outside of RT (email, SMS, phone etc)

How does it work

  1. Log in https://app.realtair.com/

  2. In your campaign dashboard, click on the campaign/property address

  3. Check your listing is either a Private Treaty or an Auction with offers enabled per screenshots above

  4. In the Buyer tab, click the +Offer button

5. Pop up will appear, click continue

6. You will be redirected to the make an offer page for this listing, note that you will be logged in as yourself

7. Fill in the details per the offer (Price, Settlement, Offer question etc)

8. In the Who is buying/Buying option - it is defaulted to “I am submitting an offer for a buyer”

9. Enter your details(if asked) and the primary buyer details

10. Proceed with offer process, and click submit

11. The listing agent will be notified of the manual offer created. Both the user that manually created the offer and the primary buyer(if email address is provided) will receive offer notifications.

12. “Manual Offer Created” should be added in the Activity log to show there is a manual offer

FAQ:

What notifications are sent to the buyer?
  • Offer Updates
    • Offer Created: Notification sent when their offer is successfully submitted.

    • Offer Updated: Notification sent when their offer details are modified.

    • Offer Withdrawn: Notification sent when their offer is withdrawn.

  • Listing Changes
    • Change of Sale Type: Notification sent if the property’s sale type changes (e.g., from auction to private treaty).
  • Countdown Updates:
    • When an end date & time is added to the listing.

    • A notification is sent during the last 5 minutes of the countdown.

    • Notification when the countdown ends.

  • Offer Status Updates
    • Agreed: Notification sent when their offer is marked as agreed.
    • Deferred: Notification sent when their offer is deferred.
  • Can agent / admin still edit, and delete these manual offers?

    • Anyone who has access to the campaign can view and delete manual offers, however only the person who created the offer can edit and withdraw the offer.

  • Can the agent still send the offer to vendor?

    • Yes, this function remains the same.

  • Does the sign-sell integration work even if the offer is manually submitted?

    • There are no changes with Sign-Sell integration and we reuse the buyer’s offer process so it should work the same.

  • What is the difference between the two buying options “I am submitting an offer for a buyer” and “I’m a buyer’s agent and buying on behalf of an individual”?

    • Select the default option “I am submitting an offer for a buyer” if you are just creating the offer for the buyer. You won’t be asked to provide your details and you will not appear as the buyer’s agent/representative when the contract is generated.

    • Select “I’m a buyer’s agent and buying on behalf of an individual” if you want your details to appear on the contract as the buyer’s agent/representative.

  • How do we prevent agents from submitting dummy offers to use in offer ranking?

    • There is no way to prevent agents from submitting a dummy offer but they can make the status “Withdrawn” so it will not appear in the Offer ranking.

  • Any known limitations?

    • Only the user who created the offer will be able to edit that offer. This is because the user was logged in as themselves when submitting the offer and during edit, it gets validated against the recorded user.

    • Users who have access to the campaign can still manually create/edit offers even if the end date(for Private Treaty) or offer submission period (24 hours before the auction schedule) has passed.

    • If the listing is under contract, sold, passed in etc , you can’t create/edit offers
